Vehicle rentals
The Facilities Services office provides assistance to the campus with local and long-distance vehicle rental needs. All renters should read over the campus Driver and Fleet Safety Policy for information on driver certification and vehicle rental requirements.

Driver certification
Prior to driving a rented vehicle, college-owned vehicle, golf cart, or Gator, renters and additional drivers must be certified every four (4) years for driving on behalf of Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø by completing all required certification components. The campus Driver and Fleet Safety Policy outlines these requirements in detail. To request driver certification, please fill out the Driver Safety Training Form. If you are unsure whether or not you or one of your additional drivers are credentialed drivers already, please contact motorpool@augustana.edu to inquire.

Vehicle reservations
Vehicle rentals for college-owned or rented vehicles and PTVs are made online using the vehicle rental request form. Vehicle reservations can only be made by Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø employees.
- Car reservations must be made at least seven (7) business days in advance to guarantee availability.
- Reservations for renting trucks, SUVs, minivans, and 10+ passenger vans need to be made at least ten (10) business days in advance; however, due to the limited availability of these vehicles, more advance notice is suggested.
- Golf cart reservations (college-owned only) must be made at least three (3) business days in advance. Golf carts that are not college-owned are rented directly from the vendor by individual departments.
- Upon completing the request form; you will receive an email confirmation within 2-3 business days.
- Vehicle rentals, whether rented or college-owned, can only be used for the purpose of Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø-sponsored events or while conducting Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø business.

Vehicle rental pick-up and return
Each vehicle rental will be assigned a ¡®vehicle rental packet.¡¯ The vehicle rental packet will include a copy of the college insurance card, an FAQ card, an accident & damage form, and a rental form sheet.
Vehicle keys should be picked up and dropped off by the renter the following office.
- Monday-Friday from 7:30 a.m. to 4:00 p.m. at the Facilities Services office in Sorensen Hall
- After hours, weekends, and holidays at the Police and Public Safety office in Sorensen Hall by using the northeast building entrance.
Pick-up
Each driver should do an inspection of the vehicle(s) before departing. This is done to identify any pre-existing damage. If renters do not document any damage before leaving, the renter may be held liable for the damage. Any pictures should be emailed to motorpool@augustana.edu.
- Vehicle locations
- Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø-owned vans and golf cart are parked in the Facilities Services vehicle parking lot on the east side of Sorensen Hall. This is the same location they should be returned to.
- Rented vehicles are parked in lot C on 7th Ave., directly across from Sorensen Hall. This is the same location they should be returned to.
- The beginning mileage of the vehicle should be recorded by the driver on the rental form sheet in the packet.
Return
Each driver should do a final inspection of the vehicle(s) for damage upon returning to campus. All damage should be documented by using the accident form inside the vehicle rental packet or electronically using the vehicle accident & damage form. Any pictures should be emailed to motorpool@augustana.edu.
- The ending mileage of the vehicle should be recorded by the driver on the rental form sheet in the packet.
- The vehicle rental packet should be returned with all paperwork and keys to:
- Monday-Friday from 7:30 a.m. to 4 p.m.: At the Facilities Services office in Sorensen Hall
- After hours, weekends, and holidays: At the Police and Public Safety office in Sorensen Hall by using the northeast building entrance.
- Gas:
- Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø-owned 12-passenger vans should be returned with a full tank of gas. If returned not full, the renter will be charged a $10 convenience in addition to the cost of gas to refill each vehicle.
- Enterprise vehicles do not have to be returned with a full tank of gas. Our contract includes a fueling convenience service.
- Cleanliness
- All vehicles, college-owned or rented, should be returned with all trash and debris removed from the interior. Excessive interior messes (i.e., mud, sand, dirt, etc.) should be cleaned out of the vehicle prior to return. Any vehicle returned in such a manner may be subject to a $25 cleaning fee.
Vehicle accidents
All vehicle accidents and damages must be reported to Trisha Hines-Morrison (trishamorrison@augustana.edu) and Cathy Atkinson (cathyatkinson@augustana.edu).
In the event of a vehicle accident, take the following actions:
Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø-owned vehicles
- Contact 911 and remain at the scene until law enforcement arrives.
- Obtain all necessary information to complete the vehicle accident & damage form. There is also a copy of the vehicle accident form in your vehicle rental packet.
- Take pictures of any damage to all vehicles involved and any property damage that may have occurred. Please email the pictures to motorpool@augustana.edu.
- If the vehicle is inoperable, you will need to contact the following:
- Monday-Friday from 7:30 a.m. to 4 p.m.: Call the Facilities Services office at 309-794-7278.
- After hours, weekends, and holidays: Call the Police and Public Safety office at 309-794-7711.
Enterprise rented vehicles

The Enterprise paperwork in the vehicle rental packet contains the RA#, which is a six-digit combination of numbers and letters.
Vehicle break-down
In case of a mechanical breakdown unrelated to an accident and you are unable to proceed because the vehicle is disabled, please do the following.

- Turn on the flashes and contact local law enforcement if the vehicle is blocking or impeding traffic.
- Contact the college for assistance.
- Monday-Friday from 7:30 a.m. to 4 p.m.: Call the Facilities Services office at 309-794-7278.
- After hours, weekends, and holidays: Call the Police and Public Safety office at 309-794-7711.
Enterprise rented vehicles
- If an Enterprise vehicle is inoperable, you will have to call Enterprise roadside assistance at 1-800-307-6666. Please have your name, location, and RA# (rental agreement number) ready. The Enterprise paperwork in the vehicle rental packet contains the RA#, which is a six-digit combination of numbers and letters.
- Enterprise roadside assistance can also help with lost keys, flat tires, vehicle lockouts, jumpstarts, towing, and fuel delivery.
- Notify Trisha Hines-Morrison at trishamorrison@augustana.edu if you have to contact Enterprise roadside assistance with the information of what occurred.
Tolls
- Personal IPASSs can be used. Please print off receipts and submit them to the Business Office for reimbursement.
- Online toll payments can be made by:
- The renters Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø purchase card.
- Renters personal debit or credit cards: please submit receipts to the Business Office or reimbursement
- If the renter does not pay the toll(s), Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø Å·ÖÞ±ÍøÍ¶_Å·ÖÞ±ÍâΧapp-Ͷע¹ÙÍø does receive a bill for the toll(s), which contains a fee for late payment. Those charges are applied to the renter¡¯s department.
